What equipment is available in each of the rooms at the venues?
A basic room with no AV is provided and is furnished with chairs, one table, and a microphone.
A premium room with AV and provided Technical Support includes one microphone, speakers, one projector, and a projector screen.
The price of each room will be announced when the application is open.
Where can I find the most up-to-date schedule each day?
The schedule will be posted on www.ngocsw.org in the beginning of February. Please check back for schedule updates online and on the CSW Forum App. The Handbook App and www.ngocsw.org have the most up to date information, as we cannot update the printed handbook, once it goes to the printer, with live changes.
Do I have to pay to attend NGO CSW Forum Parallel Events?

Are we allowed to serve food and drink during our NGO CSW Forum Parallel Event?
Food is not allowed.
Why can’t I choose the time slot for my Parallel Event?
Due to the high volume of requests, we regret that it is not possible to allow event organizers to choose their time slot.

Which locations have AV support?
Week 1 (11 March – 17 March): Church Center for the UN (CCUN) and 4 W 43rd Street are AV Rooms.
Week 2 (18 March – 22 March): Church Center for the UN (CCUN) and Salvation Army’s Auditorium have AV.
Is Wi-Fi available in the rooms?
Wi-Fi is available at all venues, but, due to limited capacity, please download all necessary materials before your parallel event. At the Salvation Army, you will need to ask security for the wifi login information.
Can NGOs co-sponsor events?
We have heard your feedback from last year, and NGO CSW/NY is allowing NGOs to co-sponsor parallel events to help defray costs. We will provide an additional email with further information on co-sponsorships.
Can multiple branches/subsidiaries/regional groups/chapters have multiple parallel events or do they have to work together as one parallel event?
Only one Parallel Event per NGO will be approved. We will not consider each chapter separately. For example, regional committees have to register together to apply for a Parallel Event. We encourage collaboration within your NGO.
Do NGOs have to be ECOSOC accredited or have UN Special Consultative Status to host a Parallel Event?
No, any NGO can sponsor a Parallel Event.
Once I submit my Parallel Event application, can I make edits?
No, all submissions are final.
Do you provide projectors and if so, what is the process?
Projectors are available if you register for a Premium Room. The cost is yet to be announced, and comes with technical support. You will need to bring your own adapter with a VGA connection and your own computer, as we cannot guarantee that we have the chords for laptops from all countries.
Can I bring my own projector?
Unfortunately, our venues do not allow you to bring your own projectors. If you would like to use a projector, purchase a Premium Room.
Do you provide laptops for use with projectors?
No, you will need to bring your own laptop, cables and adapter with VGA connection.
Are projectors Mac compatible?
Yes, but you must provide the appropriate adapters with VGA connection.
Will a technician be available to help me set up?
There will be technical support available in the Premium Rooms.
- Download all materials to your flash drive or desktop. All venues have WiFi; however, as there will be hundreds of people trying to use the WiFi at once, we cannot ensure that downloads and streaming will be successful in real time. At the Salvation Army, only Parallel Event hosts will have access to WiFi, and only for the duration of their event.
- Bring the cords necessary to ensure compatibility between your laptop and the projector.
- We will do our best to provide audio, compatibility chords, and WiFi; however, cannot make any guarantees as we have over 400 events, many using different forms of technology with overloaded WiFi connections. Thank you for understanding.

I am an artisan. Is there a fee to sell my goods at the Artisan Fair?
Yes. The application to apply for a table at the Artisan Fair is free. Artisans selected to sell goods at the Artisan Fee will be asked to pay a registration fee. Price TBA. Space is limited and is allotted on a first-come, first-served basis. One table per organization.
I am an artisan. When should I bring my goods to the Church Center?
Do not bring your goods before the day of the fair.
NGO CSW Forum Ads & Handbook
When and where will the NGO CSW Forum Ads & Handbook be available?
NGO CSW Forum Ads are displayed on a large screen on Consultation Day and posted on the NGO CSW/NY website. Printed handbooks are distributed during NGO CSW Forum Consultation Day, and are available for Purchase at the NGO CSW/NY Office for $5.00. The Handbook will also be available online for you to download and print, and on the CSW Forum App.
Do I need to pay to receive the NGO CSW Forum Handbook?
Handbooks are posted online at least 2 weeks before the NGO CSW Forum. The Handbook App is also free. Printed copies of the handbook cost $5.00 and can be purchased at the NGO CSW/NY Office. Handbooks will be given out for free to all ticketed attendees at Consultation Day.
How can I purchase an ad for the NGO CSW Forum?

What is the latest deadline to change my ad for next year?
Is my event automatically listed in the handbook? What about other ad info.?
If your parallel event was accepted, the event will automatically be listed in the print, online, and app versions of the NGO CSW63 Forum Handbook. One sponsoring organization, the event title, date, time, and location will be listed in the handbook. To advertise additional information, such as co-sponsoring organizations and speakers, and to get more outreach for your event, buy an ad http://www.ngocsw.org/ngo-csw-forum/ngo-csw-forum-handbook-ads.
What are the dimensions of the Handbook ads?
The dimension of handbook ads is 8.5″ x 11.125. There can be 6″w X 9″h with .125″ bleeds if needed. There is a.375″ margin for the Spiral Binding.
Why do I have to register for the NGO CSW Forum?
Due to the high volume of attendees, free registration is now required.

Please refer to the UN CSW website; this information changes yearly.
Travel and visa arrangements
The NGO CSW/NY will not make travel or visa arrangements or pay for any expenses in connection with the participation of NGO representatives in the sessions of CSW. Such arrangements and costs are the exclusive responsibility of participants.
Participants are encouraged to submit their visa applications well in advance, in accordance with their local United States Consulate requirements, in order to allow sufficient time for processing.
Unfortunately, NGO CSW is not able to provide a formal letter for the visa application. This is a question that can be sent to UN Women as well at email@example.com.
UN CSW Registration
Where do I go to get my UN pass?
UN Women issues NGO Advisories with information on registration. Please view their website on NGO participation for registration information. The NGO CSW/NY does not have the authority to register organizations.
Where can I get the invitation letter for the session?
NGO CSW/NY does not issue invitation letters for the UN CSW sessions. Please see the UN Women website.
Do I need to register to attend UN Side Events?
Yes. Please view their website on NGO participation for additional information.
Can I attend CSW63 side events if I am not part of a registered delegation? [Subject to updates from the UN and UN Women]
Yes. UN Women will post the side event schedule on their website in February. You can RSVP for individual events, and pick up a temporary pass on the day of the event. Additionally, if you have an annual UN pass, you will be allowed to enter the UN during CSW62.
I registered for CSW63, do I still need to register to attend NGO CSW63 Forum Parallel Events?
Yes, you need to register for the NGO CSW Forum to attend parallel events.
What is the length of parallel events?
Each group will have 90 minutes for your event. You may arrive 15 minutes early to set up and extra 15 minutes to clean up in the end.
Payments and Refunds
Can we pay in cash upon arrival due to foreign bank issues?
No. Approval is required for money orders and checks.
Do you give refunds for the NGO CSW Forum Consultation Day or the NGO CSW Forum Reception?
No. Unfortunately, we cannot refund fees.
Do you give refunds for NGO CSW Forum Parallel Events?
No. Unfortunately, we cannot refund parallel events that were canceled by the organizer. We can only give refunds for applications that are not selected to sponsor a parallel event.
Do you give refunds for my NGO CSW Forum Parallel Event projector rentals or NGO CSW Forum Ads?
No. Unfortunately, we cannot refund fees.
